App Overview and Walkthrough
Welcome to VoiceController! This quick guide gives you an overview of the key features and tools inside the app so you can confidently manage calls, appointments, reports, and more.
Dashboard Overview
When you log in, you'll land on the Dashboard, your real-time overview of AI performance and shop activity.
Here's what you'll find:

Latest Caller Info – Who called most recently

Average Call Time – Tracks typical conversation duration

Total Calls vs Appointments – Understand conversion rates
-
Hourly Call Volume – See peak call times (e.g., after hours, lunch rush)

Call Results Breakdown – Booked appointments, SMS sent, transfers to staff
-
Popular Callers – Repeat customers or high-frequency callers
-
Sentiment Scores – How positively or negatively callers respond to the AI
-
Interaction Types – What customers are doing (e.g., scheduling, asking questions)
-
Common Topics & Questions – What people are asking, and how the AI responds
Calls Tab
Click on the Calls tab in the left menu to view and manage individual call records.
You can:

Review call details and call outcomes
-
Send SMS directly from a call record
-
View transcripts of what was said during the call
-
Listen to call recordings (if enabled and compliant with local laws)
Note: Call recording must be enabled in your Location Settings, and disclosure laws vary by state. We can help you configure this properly.
Calendar Tab
The Calendar gives you full visibility into upcoming appointments and makes scheduling simple.
You can:

View by day, week, or month

Click any appointment to edit details, send messages, or mark status (e.g., completed, no-show)

Manually create appointments for walk-ins or direct phone calls
Locations Tab
If you manage multiple shops, you’ll see each listed under Locations. Each one can be configured individually:

Operating Hours – When your shop is open

Appointment Availability – When you want to accept appointments
-
Blackout Dates – Holidays, training days, etc.

Max appointments per day/time slot
-
Call Recording – Enable or disable per location
Personas (Access-Dependent)
Personas define how your AI behaves on the phone:

How it responds

How it handles different types of calls
Each location can have a custom persona based on its service model or brand voice.

Connect VoiceController to external platforms like:

Reports Tab
Run custom Reports to analyze performance across timeframes and locations.
You can:

Filter by date range, location, and metric (e.g., calls, texts, missed calls)

Break data down by location or appointment type

View results as charts or tables
Click Generate Report to build and review your data.
Support & Settings

Need help? Use the help icon in the bottom-left corner to chat with support or view training materials.

Account settings (profile, logout, switch accounts) are available by clicking your name in the top-right corner.
