Building and Creating Reports

The Reports section in VoiceController gives you powerful insight into how your AI phone assistant and shop communications are performing.

 

With customizable filters and interactive charts, you can quickly get answers to questions like:

  • How many calls did we receive last month?

  • Which location has the most missed calls?

  • How many text messages were sent or coupons redeemed?

Getting Started

To access reports, navigate to Reports from the left-hand sidebar.

From there, you’ll see a set of filters and options at the top of the screen. These allow you to tailor the data to exactly what you’re looking for.

Setting the Date Range

Click on the date picker to define the time period for your report.

Example: To view June’s performance, set the start date to June 1 and the end date to June 30.

Choosing Locations

If your account has access to multiple shop locations, you’ll see a location selector. Use this to:

  • Include all locations in the report

  • Focus on a single shop

  • Compare specific locations

Selecting Report Metrics

You can customize what the report tracks by selecting from available metrics:

  • Total Calls

  • Missed Calls

  • Text Messages Sent (filter by message type, like confirmations or coupons)

  • Appointment Types (e.g., vehicle service, callbacks)

Check only the metrics you want to include in your report.

Grouping Options

Choose how your results are grouped:

  • By Location – See how each shop performs side by side

  • No Grouping – Get a combined report across all selected locations

You can also filter by appointment types to isolate the kind of visits you want to analyze.

Generating the Report

Once you’ve selected your filters:

  1. Click Generate Report.

  2. Your report will appear below in both table and chart format.

These are fully interactive:

  • Hover over charts to see exact numbers

  • Sort tables for clearer analysis

Example Use Cases

  • Identify which days or hours have the highest call volumes

  • Spot trends in no-shows or coupon redemptions

  • Compare customer engagement across locations
