Customizing Location Settings
VoiceController gives you the flexibility to manage each of your shop locations individually. Whether you operate one location or multiple, the Location Settings section allows you to fine-tune how the AI behaves, responds, and handles appointments based on the needs of each site.
Accessing Location Settings
If you have access to more than one location, you’ll see a list of available locations in your dashboard. Click on any location name to view and customize its settings.
Don’t see the location you need? Contact VoiceController support to request access or have a new location added to your account.
Core Settings Per Location
Each location can be customized with the following:

Store Name & Description – Create a unique profile for your location that informs how the AI responds.

Phone Number & Website – Useful for callback responses, SMS messages, and customer inquiries.

Time Zone – Ensure appointment times and reports are aligned with local hours.

Hours of Operation – Defines when your shop is open. The AI uses this to answer “What are your hours?” type questions.
Call Recording
You can enable or disable Call Recording for each location. If enabled, the AI will automatically record calls.
Important: Some states require that you notify the caller. Please consult legal guidelines for your area.
VoiceController can assist with setting up proper disclaimers if needed.
Blackout Dates
Use Blackout Dates to block off times when appointments should not be scheduled:

Holidays

Weekends
-
Staff training days

Specific recurring days (e.g., closed every Thursday)
These ensure customers don’t book during times you’re unavailable—even if the shop is technically “open.”
Appointment Booking Settings
Fine-tune when and how appointments can be booked, independent of shop hours:

Appointment Availability – Define windows when you accept appointments (e.g., only 9–3 even if you’re open 8–5).

Max Appointments per Day – Limit how many total bookings can occur each day.

Bookings per Slot – Set how many concurrent appointments can be scheduled per time slot (e.g., 3 customers at 10 AM).

Buffer Time – Add a break between appointments to avoid overbooking or give staff transition time.

Appointment Length – Define how long each appointment is expected to take (e.g., 45 minutes for an oil change).
Email Notifications
You can opt-in to receive Missed Call Notifications via email. We strongly recommend enabling this so no customer is overlooked if the AI can’t complete a call.
Once you’ve configured all settings, click Save to apply changes.
