Navigating the Calendar in VoiceController

VoiceController's built-in calendar and scheduling tools allow your team to manage appointment availability, view upcoming visits, and stay organized across multiple timeframes. This article explains how to access and use the calendar scheduling view.

 

Accessing the Calendar

To open the calendar:

  1. Log in at dashboard.voicecontroller.ai.

  2. From the left-hand menu, select Calendar.

Once you're in, you'll see the default view set to Month. You can toggle between Day, Week, or Month views at the top right, depending on how detailed you want the schedule to appear.

Understanding Calendar Color Codes

The calendar uses color-coded indicators to help you quickly understand appointment statuses and shop availability:

  • Blackout Dates (gray): These are days when the shop is closed and no appointments can be scheduled.

  • No Appointment Dates (light yellow): The shop is open, but appointment slots have not been configured.

  • Confirmed Appointments (green): These are active, confirmed bookings.

  • Pending Appointments (yellow): These are awaiting confirmation or follow-up.

  • Completed Appointments (blue): These visits have already occurred.

  • No-Show Appointments (purple): Customers who missed their appointment.

  • Canceled Appointments (red): Bookings that were canceled by the shop or customer.

Navigating the Schedule

Use the arrow buttons at the top of the calendar to move between months, weeks, or days. You can always return to the current date by reselecting the view or refreshing the screen.

Use Print if you need to create a physical schedule. Clicking the button will open your system's print dialog with the current calendar view.

Creating an Appointment

Appointments can be created in two ways:

  • Automatically, through VoiceController’s AI phone assistant

  • Manually, by clicking Create Appointment for walk-ins or direct calls to the shop
